We are living through unprecedented times with more and more of us finding ourselves working from home, something that is completely new for many people. Making the transition to working from home can be hard, especially if you work in a document-heavy environment. There are a number of ways we can help as well as things you can do so we’ve put together a list of top tips to make it work for you.
Plan ahead
If your workplace is planning to close the office for the foreseeable and is asking everyone to work from home try to think about which files you may need. We can help by carrying out pre-emptive deliveries before you make the transition or, if you realise afterwards, you can take advantage of our scan on demand service so you will always have access to a digital copy of files.
Scan on demand
Our Scan on Demand service is a digital retrieval service that means you can rest assured any files you may need can be quickly and easily accessed. This is great for when you need to check what a document contains without having the hard copy in front of you. You make the request, we locate the document, scan the hard copy in and either email it over or upload it to the client portal. What could be simpler?
Client portal
This is the thing we’re most proud of and are sure will make working from home the easiest. Our client portal gives you access to your full inventory anytime, anywhere! Log in from any PC or device 24/7 to see a full list of what you have in storage, trace documents using end-to-end barcode tracking, and request documents – you really do have full control. Used in conjunction with our Scan on Demand service every document stored with us is at your fingertips.
Home delivery
Depending on your company’s policy we can also deliver hard copies of files to a requested address. This is, of course, something that would need to be set up and agreed to by your contract manager. If you think this is a service you may need we’d be happy to explain the process of getting it set up so you can take advantage before everyone has to work remotely. You never know when you might need a hard copy of something.
Stay organised
All of our tools are there to help you carry on as normally as possible in these crazy times, but staying organised is down to you. Of course take advantage of your much shorter commute but try to get up at roughly the same time, get dressed even if only into jeans and a t-shirt, and stick to your normal routine. It really will help you stay sane! We also recommend creating a separate workspace if you can so that you still have the feeling of “going to work”. This will help keep work and home separate while indicating to others in the household that, although you’re technically at home, you’re still working.
Take advantage of technology
Our Client Portal and Scan on Demand service are two great ways of using technology to your benefit while working from home but there are loads of other services out there which can also help. Use platforms like Zoom, Skype, or Google Hangouts to get the team together for a catch-up so you can keep team spirit up. Use Google Drive or Office 365 so that everyone in a team can edit live documents enabling you to stay up to date with who’s doing what. If there’s a big project going on Asana and Teamwork can be godsends as you can assign tasks to team members so everyone has a clear idea of what’s expected.
