As we adjust to the new world we find ourselves in, going ‘paperlite’ is the perfect way to provide some much needed continuity, not to mention a greener office when we’re able to return. Most businesses are aware of the concept of going paperless but aren’t sure what paperlite is, we’ve put together a handy guide to ease your transition.

What is paperlite?
If you’ve never heard of it you’re certainly not alone, while paperless has grabbed headlines and been held up as the thing for businesses to aspire to, paperlite has been slowly building momentum in the background. As opposed to paperless, which does exactly what it says on the tin, paperlite is a way for businesses to find a happy medium. By introducing a largely paperless culture it acknowledges that for some functions within the business printing is still essential. Aside from being much better for the environment there are also a number of benefits to businesses, especially at the moment.

Increased staff morale
Everyone is looking for ways to continue to be able to do our jobs effectively while working from home, so we have a range of support available to help minimise disruption. Subject to individual company policy we can arrange socially-distanced delivery of documents to home addresses; our client portal contains a full inventory of everything in storage, provides a full audit trail, and permission levels can be customised; and our Scan on Demand service is ideal for situations where you need to see a document but don’t need the hard copy. All of this goes some way to making things just that little bit easier for your staff.

Increased security
A paperlite office is a more secure office, especially now that a large proportion of people are working from home. Our facilities ensure all client documents are stored securely, documents in transit are secure too as only our drivers have access. Instead of staff having hard copies of sensitive information at home you can store your documents with us which they then access online. The most secure way is through our client portal which contains your full inventory and provides an audit trail every time a document is requested. Documents can also be accessed through our scan on demand service – you make the request, we find the document in our warehouse, scan it in and either send it via email or through our online client Portal. Sometimes there will be instances where an employee really needs a hard copy so we can, subject to company policy, make contactless drops at home addresses. Every item has end-to-end barcode scanning so we always know where it is.

Increased space
By going paperlite you will be able to provide staff with social distancing measures so they feel safe and happy returning to the office. The government has put together guidelines for how to implement effective social distancing measures in office environments – https://www.gov.uk/guidance/working-safely-during-coronavirus-covid-19/offices-and-contact-centres which is a really great place to get some ideas. All your physical documents can be securely stored by us and are fully accessible to staff via our scan on demand, client portal, and contactless document delivery services.

Paper where needed
Paperlite is the perfect halfway house to ensure social-distancing guidelines are met and do a little bit more for the planet. Not every aspect of every job can be digitised as there are certain circumstances where a hard copy is absolutely necessary. We work with a number of clients across a range of sectors for whom going completely paperless is completely unrealistic. Archive-Vault have a number of ways to help you in your quest to become paperlite. We can securely store those documents you simply must print and, with our scan on demand service, send across documents you need access to quickly. Our online client portal also enables you to quickly and easily see which documents we have in storage so you can keep your paperlite promise.
