If you need a document simply log on and check where it is. If it’s in storage you can either request an electronic copy or, subject to company policy, book a same day retrieval for us to carry out a socially-distanced delivery to your home address.
We understand the importance of keeping track of document movements, especially at the moment, so every time a transaction is made, it is automatically recorded. We also keep track of the type of request made so you have a full audit trail. All documents put into storage are fully traceable via end-to-end barcode tracking, allowing you to always know when they were collected and where in our warehouse they are. We’ve also built-in a range of search options so you can find all the information you might need about a box or file within seconds.
Your documents may contain sensitive information, with the Client Portal you can set security preferences at an individual or departmental level. Our Client Portal gives you everything you need to stay on top of where and how your documents are stored while keeping control of who in the business can see them. So you can concentrate on keeping your staff safe without worrying about the security of your documentation.
At Archive-Vault we notify you when documents are due for destruction ahead of time for authorisation. By storing documents according to the necessary timelines we help you keep costs down while remaining fully GDPR compliant. If there’s something due for destruction that you actually need, you can simply decline the destruction and extend the retention period.
As well as helping you manage documents already stored with us, the client portal gives you the ability to: schedule same or next day retrievals and collections, upload files in a number of formats, view delivery notes to ensure all invoicing is accurate, and order new flat pack boxes or security tags.
