During National Spring Cleaning Week we’re sure you’re thinking about how to not only spring clean at home (be afraid dust-bunnies!) but also how to do the same at work. Afterall being a little more organised never hurt anyone, one way of getting organised is through a Clean Desk Policy…

What exactly is a Clean Desk Policy?
A Clean Desk Policy (CDP) is exactly what it sounds like, a company-wide initiative to ensure workspaces are left as tidy as possible whenever left. On the whole it requires everyone to remove all paperwork and potentially sensitive information at the end of each day. This information is then either securely stored or shredded, if you have any important documents that need storing just let us know. We can securely collect and store your documents with all boxes in our facility barcoded so we can also quickly and easily retrieve them for you.

Why implement a CDP?
Clean Desk Policies help you not only stay on top of office clutter and crowded in-trays but also ensure you’re fully GDPR compliant. This is especially important if you have an open office which regularly welcomes external visitors. You can also extend a CDP to include locking screens when away from your desk to minimise the potential for sensitive information to be seen unintentionally.

What are the other benefits?
CDPs create an environment of organisation which can help increase productivity. A number of studies have shown that clutter and disorganisation can negatively impact mental well-being which in turn impacts productivity. The more organised and pleasant our environment the happier we feel and therefore the more productive we are. A recent study conducted by Oxford University showed a 13% increase in productivity in happy workers, that may not sound a lot but imagine what someone who is 13% more productive can achieve! Not only that but a more organised environment also creates a better first impression to anyone entering the office. A beautifully organised office with minimal clutter and paperwork in workspaces automatically gives a positive and professional impression.

Can a CDP help with waste management?
Absolutely! CDPs naturally lead to fewer documents being printed off and circulated, which in turn means there are fewer documents to dispose of. Remember, fewer documents also mean a decreased risk of sensitive information being seen by the wrong eyes thereby ensuring GDPR compliance. At Archive-Vault we can help with the storage of sensitive documents through our secure collection and storage service, so you never have to worry about compliance again.

I’m in! How do I go about implementing one?
The most important step is explaining exactly what your Clean Desk Policy will involve and why you’ve decided to bring it in. Once you’ve explained the benefits agree next steps, it may be that the best option is to gradually implement the policy in stages so that everyone has a chance to get used to the new way of working.

What next?
Once you’ve brought in your Clean Desk Policy it’s important to keep on top of any slips, a gentle reminder can go a long way to help everyone get used to it. At Archive-Vault we have all the tools necessary to help your transition to a CDP run smoothly, so now you’ve decided to bring one in get in touch to find out how we can ensure it’s a success!
